1. General Regulations

1.1. This Personal Data Processing Policy (hereinafter referred to as the Policy) has been developed in accordance with Federal Law No. 152-FZ dated 27.07.2006 "On Personal Data" (hereinafter referred to as 152-FZ) and defines the procedure for processing personal data and measures to ensure the security of personal data carried out in connection with the use of the website of the scientific journal PEPAN Letters (next is the website pepan.jinr.ru ), operating on the Open Journal Systems (OJS) platform.

3. Composition of personal data processed

3.1. Data provided by the user during registration

  • Last name, first name, patronymic (if any)
  • Email address
  • Name of the organization / place of work (affiliation)
  • Position, academic degree, title (if any)
  • Country and city of residence/work
  • ORCID ID (if available)
  • Username and password (encrypted)

3.2. Data generated while working with the website pepan.jinr.ru

  • Session identifiers (cookie OJSSID)
  • The selected interface language (saved in a cookie or local storage)

3.3. Data related to publishing activities

  • Information about the authors of publications (including those indicated in the metadata of articles)
  • Reviewers' data (last name, first name, place of work, area of expertise)
  • The history of correspondence within the framework of the editorial process
  • Information about accepted/rejected manuscripts

4. Purposes of personal data processing

  • User registration and identification in the OJS system
  • Ensuring the work of the editorial process (submission, review, publication of articles)
  • Communication with authors, reviewers, and members of the editorial board
  • Memorizing user preferences (interface language)
  • Generating statistics on attendance and use of materials (in an impersonal form)
  • Indexing in databases (RSCI, etc.)

5.1. The website pepan.jinr.ru uses cookies — small text files placed on the user's device, they ensure the correct functioning of the OJS platform and improve interaction with the site. The OJSSID cookie is created on the first visit to the journal's website for all users, regardless of authorization.

5.2. The OJS platform uses strictly necessary (technical) cookies OJSSID, which are necessary to identify the user's session, enable login, and remember session settings (including language).

5.3. Strictly necessary cookies do not require separate user consent, as they ensure exclusively the technical functioning of the site pepan.jinr.ru and fulfillment of contractual obligations (submission and review of articles).

5.4 Cookie retention periods:

5.5.The user can delete cookies manually at any time through the browser settings. Disabling cookies will not affect access to published articles, but it will make it impossible to log in and use functions that require authorization.

6. Legal grounds for processing personal data

6.1. Personal data is processed in cases where the user gives separate consent to the processing of personal data in cases stipulated by the Policy (for example, for processing analytical data or transferring metadata to third-party services). The consent is issued in electronic form by marking the checkbox on the corresponding page of the website. pepan.jinr.ru . 6.2. The processing of publicly available personal data of the authors of publications indicated in the metadata of articles is carried out in accordance with art. 8 152-FZ (data made publicly available by the subject himself).

6.3. The processing of OJSSID cookies is based on the legitimate interest of the PEPAN Letters journal in ensuring the site's operability pepan.jinr.ru (clause 7, part 1, Article 6 152-FZ) or on the basis of a contract (clause 5, part 1, Article 6 152-FZ).

7. Terms of processing and storage of personal data

  • The data of the authors of the published articles is available indefinitely (as part of the publication archive)
  • The data of the authors and reviewers is for the entire period of the journal's operation
  • User accounts — for the entire period of the journal's operation, until they are deleted at the user's request
  • Session cookies (OJSSID) — until the browser is closed or 30 days (when marked "Remember me")

8. Confidentiality. Transfer of personal data to third parties

8.1. PEPAN Letters journal does not sell or transfer users' personal data to third parties for marketing or other purposes unrelated to the magazine's operation.

8.2. Personal data may be transferred to third parties in the following cases::

Scientific citation databases (RSCI, Scopus, Web of Science) Publication metadata Indexing of the journal and articles

8.3. Any transfer of personal data to third parties is carried out in compliance with the requirements of 152-FZ, including obtaining the consent of the personal data subject, unless otherwise provided by federal law.

9. Rights of personal data subjects

9.1. The User has the right to:

  • To request clarification, blocking, or destruction of their personal data if they are incomplete, outdated, inaccurate, or obtained illegally (art. 14 152-FZ).

10. Security measures

11. Responsibility for personal data in the content of publications

11.1. The authors of the manuscripts bear full independent responsibility for the inclusion in the text of articles, annotations, metadata or accompanying materials of any personal data subject to 152-FZ.

11.2. By submitting the manuscript, the author confirms that:

  • all necessary consents to the processing of personal data included in the manuscript (including data from third parties) have been obtained;
  • such data is processed in accordance with the requirements of 152-FZ;
  • The author is aware of the consequences of including personal data in a publication (including their unlimited dissemination via the Internet, indexing by search engines and scientific databases).

12. Final provisions

12.1. This Policy comes into force from the moment it is posted on the website pepan.jinr.ru and it is valid indefinitely until it is replaced by a new version.

12.2. Changes to the Policy are made unilaterally. The new version of the Policy comes into force from the moment it is posted on the website. pepan.jinr.ru , unless otherwise provided by law.
